Privacy Policy

This Privacy Policy explains how CoachDek (“we,” “our,” or “us”) collects, uses, and shares information when you use the CoachDek service (the “Service”). It applies to coaches, coordinators, program staff, and players who have accounts on CoachDek.

1.Who is responsible
CoachDek, Inc. is the data controller for CoachDek. We are based in the United States and we host the Service primarily in US-based cloud infrastructure.
2.Information we collect
a. Account information
When you sign up, we collect your name, email address, password (stored hashed), and the role you hold on a team (head coach, coordinator, position coach, player, etc.). For programs and teams, we collect the program/team name, school, sport, and level.
b. Content you create
We store the practice plans, periods, drills, playbooks, formations, plays, depth charts, ratings, comments, install schedules, and other coaching content you create in the Service.
c. Roster information
Coaches enter player names, email addresses (for invited players), graduation years, and position assignments. Roster-only entries (added by name without an email invite) include first name, last name, and graduation year.
d. Payment information
When you start a paid subscription, payment card information is collected directly by Stripe, our payment processor. CoachDek does not see, store, or have access to your card number, CVC, or full bank account details. We store the Stripe customer ID, subscription ID, plan, status, and billing period dates so we can grant access to paid features.
e. Usage data
We collect technical data needed to operate the Service: IP address, device and browser type, pages or screens viewed, actions taken, and timestamps. We use this for security, debugging, and product improvement.
f. Communications
If you email us or contact support, we keep a record of the conversation.
3.How we use information
We use information to:
- Provide and operate the Service (sign you in, save your work, sync data across devices).
- Process subscriptions and payments (through Stripe).
- Send transactional email (invitations, password resets, receipts, billing notices, security alerts).
- Improve the Service, debug issues, and develop new features.
- Detect and prevent abuse, fraud, and security incidents.
- Comply with legal obligations.
We do not sell your personal information. We do not use Your Content to train third-party generative-AI models.
4.AI features and third-party AI providers
Some CoachDek features (drill suggestions, playbook import, AI assistance) send relevant content to a third-party AI provider (Anthropic) to generate suggestions. Only the content needed for the request is sent. The AI provider processes the data under its own terms and does not retain it for model training when accessed through the API.
You can turn off AI features at any time. AI suggestions are recommendations only — you are responsible for reviewing them before using them with athletes.
5.How we share information
We share information only as needed to operate the Service:
- Within your team or program. Coaches and players on your team can see the content you create within that team, according to their roles and the permissions matrix.
- With service providers (“sub-processors”) who help us run the Service:
- Supabase — database hosting, authentication, file storage.
- Stripe — payment processing, billing portal, invoicing.
- Anthropic — AI suggestions (only when AI features are used).
- Email delivery providers for transactional email.
- Analytics and error monitoring (e.g., Sentry) for crash reports and usage metrics.
- For legal reasons when required by law, subpoena, or to protect rights, safety, or property.
- In a business transfer — if CoachDek is acquired or merges with another company, your data may transfer subject to this Policy.
We do not share your information with advertisers or data brokers.
6.Players who are minors
CoachDek is designed for use by coaching staff. When a coach invites a player who is under 18, that account is created and used under the supervision of the inviting coach and, where applicable, the player's parent or guardian.
We do not knowingly collect personal information directly from children under 13 without verifiable parental consent (consistent with the US Children's Online Privacy Protection Act, “COPPA”). If you are a parent or guardian and you believe a minor has provided us information without your consent, contact support@coachdek.com and we will delete it.
The information we hold about a minor player is limited to what their coach enters: name, graduation year, optional email, position, ratings, depth-chart placement, and content the player creates if they sign in. Coaches are responsible for handling this information consistent with their school's or program's policies and applicable law (FERPA, state privacy laws, etc.).
7.Data retention
We retain account and team data for as long as your account is active. If you cancel your subscription, your data remains in the free tier; you can keep using the free features or request deletion.
When you (or a program owner) request account or team deletion, we delete your data within 30 days, except for limited records we are required to keep for legal, tax, or fraud-prevention purposes (typically billing records).
Backups may persist for up to 90 days before they are overwritten or expire.
8.Your choices and rights
You can:
- Access and update most of your information directly in the app (profile, team, roster).
- Export your subscription and billing history through the Stripe Billing Portal.
- Cancel your subscription at any time from “Manage Billing.”
- Request deletion of your account, your team, or specific content by emailing support@coachdek.com.
- Opt out of marketing email (we send very little; transactional email is required while you have an account).
If you live in a jurisdiction that grants you specific privacy rights (California's CCPA/CPRA, Virginia's CDPA, EU/UK GDPR, etc.), you may have additional rights to access, correct, delete, or port your data, and to object to certain processing. Contact us to exercise those rights. We will not discriminate against you for exercising them.
9.Security
We protect your information with technical and organizational safeguards: encryption in transit (TLS), encryption at rest at the database layer, role-based access controls, row-level security in our database, audit logging, and regular review of who has access to what. No system is perfectly secure; if a breach affects you, we will notify you as required by law.
You are responsible for keeping your password secret and for the security of your devices.
10.International users
CoachDek is operated in the United States. If you access the Service from outside the US, your information will be transferred to and processed in the US, where laws may differ from those in your country. By using the Service, you consent to this transfer.
11.Changes to this Policy
We may update this Policy. If we make material changes, we will notify you by email or in-app notice at least 30 days before the changes take effect. The “Effective date” at the top of this page tells you when the current version was published.
